Man and Van Aldgate Health and Safety Policy

Man and Van Aldgate is committed to providing a safe and healthy working environment for our employees, contractors, customers and members of the public who may be affected by our removal and transport activities. This policy sets out our approach to managing health and safety in all aspects of our man and van and removal services.

Policy Statement and Objectives

Our objective is to prevent injury, ill health, damage to property and harm to the environment arising from our work. We will identify, assess and control risks associated with lifting, carrying, loading, driving and on-site activities. Health and safety is an integral part of the way we plan and deliver removal services for homes, offices and commercial customers.

Management Responsibilities

Management at Man and Van Aldgate is responsible for implementing and maintaining this health and safety policy. Management will ensure that suitable resources are provided to control risks, that procedures and safe systems of work are in place, and that these are regularly reviewed and improved where necessary. Management will also ensure that vehicles, equipment and tools used in removal work are properly maintained and suitable for the tasks undertaken.

We will keep up to date with relevant health and safety legislation and good practice within the removals and transport industry and will adapt our procedures where required.

Employee Responsibilities

Every employee and contractor working with Man and Van Aldgate has a personal responsibility to take reasonable care of their own health and safety and that of others who may be affected by their actions or omissions. All staff must follow our safety procedures, attend training as required and use equipment properly and as instructed.

Employees must report hazards, near misses, accidents, damage to vehicles or equipment, and any health and safety concerns to management without delay. Staff are expected to cooperate fully with any investigation or review relating to safety matters.

Risk Assessment and Safe Working Practices

We will conduct risk assessments for our key activities, including but not limited to manual handling, property access, loading and unloading, driving, parking, and working in confined or shared spaces. These assessments will be reviewed periodically and whenever there is a significant change in our operations or service area.

Safe systems of work will be developed from these assessments, and employees will be briefed and trained on the required methods. Where risks cannot be eliminated, they will be reduced to the lowest reasonably practicable level through controls such as planning, team lifting, equipment use and customer communication.

Manual Handling and Lifting

Manual handling is a key part of our removal services. To minimise the risk of musculoskeletal injuries, we will:

Assess items before lifting, considering weight, shape, stability and route.

Encourage team lifts for heavy or awkward items and use appropriate lifting techniques.

Use handling aids such as dollies, trolleys, straps and blankets where appropriate.

Plan access routes to be clear of trip hazards and obstacles before moving items.

Staff are not permitted to attempt lifts that they reasonably believe exceed their capability or could cause injury.

Vehicle Safety and Driving

Our vehicles are essential to our removals and man and van work. We will maintain vehicles in safe and roadworthy condition, subject to regular checks, servicing and cleaning. Drivers must complete pre-use checks and report any defects.

Drivers must follow all road traffic laws and drive with consideration for other road users, pedestrians and local conditions. Loads must be properly secured to prevent movement during transit, and vehicles will not be overloaded. Parking and stopping will be planned to minimise risk during loading and unloading while respecting local restrictions and safety requirements.

Customer Premises and Site Safety

When operating at customer locations, our staff will take reasonable steps to protect people and property. This includes:

Planning safe access and egress routes.

Identifying potential hazards such as uneven surfaces, stairs, low ceilings and restricted access.

Using appropriate protective coverings to prevent damage to floors and fixtures where appropriate.

Positioning equipment and vehicles so as to reduce risks to customers, neighbours and passers-by.

We encourage customers to inform us in advance of any specific site risks, access restrictions or special requirements so that we can plan for safe delivery of services.

Equipment and Personal Protective Equipment

Man and Van Aldgate will provide suitable tools, handling aids and personal protective equipment required for safe work. Staff are responsible for using this equipment correctly and for reporting any loss, damage or defect immediately.

Where identified by risk assessment, this may include protective gloves, high-visibility vests, safety footwear or other protective items. Equipment will be stored safely when not in use and checked regularly.

Training, Information and Supervision

We will provide appropriate training and information so that employees are competent to carry out their tasks safely. This may include induction training, manual handling guidance, safe driving practices, equipment use and incident reporting.

New staff and less experienced workers will be supervised until they have demonstrated they can work safely and in accordance with our procedures. Refresher training will be carried out as needed and when working methods or equipment change.

Accident, Incident and Near Miss Reporting

All accidents, incidents, near misses, property damage and vehicle collisions that occur during our work must be reported to management as soon as possible. We will investigate these events to identify root causes and implement corrective actions to prevent recurrence.

Records of incidents and actions taken will be kept and reviewed periodically to monitor performance and support continuous improvement.

Health, Welfare and Fitness for Work

We recognise the importance of staff health and fitness for the safe performance of removal tasks. Employees must not work under the influence of alcohol, drugs or any substance that may impair their ability to work safely. Any employee taking medication that may affect their performance must inform management so that appropriate adjustments can be considered.

We will encourage good housekeeping in vehicles and on site, maintaining clear walkways, safe loading areas and access to welfare facilities where available.

Policy Review and Communication

This health and safety policy will be communicated to all employees and contractors working with Man and Van Aldgate. It will be made available to customers on request so they can understand how we manage safety during removals and transport work.

The policy will be reviewed regularly and updated when necessary to reflect changes in our operations, legislation or best practice. Everyone involved in providing or receiving our services is expected to support and uphold the principles set out in this policy.
